Report Scheduling
With this function, the following reports can be created once or periodically (daily, weekly, monthly) for defined selection parameters, and sent automatically to registered users in encrypted form by email:
Driving time reports - driver
Infringement Reports
Gap reports
Alert reports
In the menu item "Report Scheduling" the planned reports are displayed.
The following steps are required to perform a planning entry and receive the reports automatically via email:
Enter password in the user administration
Please enter a password in the field "Report Password" and save it (marked icon in the upper left corner). This password is required to open the encrypted report.
2. Create report planning
After the desired report has been selected (e.g. Driving Time report) and the selection criteria have been set, the "Schedule Report" button is clicked, then the following screen appears:
Here the suitable parameters are selected, e.g. frequency, first execution, last execution. When clicking on the arrow -> (top left), the following display appears, as a summary of the request:
Important! Finally, click on the "Save" icon in the upper left corner. This saves the request, and the reports for the desired dates is created and sent by email.
3. Email receipt of the report
The report is sent as an attachment with this email text.
4. Overview of the report schedule
This overview shows all planned reports for the user. If a planned report is to be removed, this can be done with the delete function (icon on the right side).
Special feature (1):
Requester is not the Recipient
There is a possibility that the requester is not the same as the recipient. Example: an administrator creates a report planning for a fleet manager. In this case, the recipient (fleet manager) receives an email with the administrator's request, which the recipient must confirm. Without the confirmation, the planning will not be activated, and thus the report will not be sent.
As long as the report planning is not confirmed by the recipient, the exclamation mark appears in the "Active" field !
Special feature (2):
Report password missing
The field "User*" in the report selection does not show a user. In this case, no password for reports has yet been entered for the user in the user administration. After it has been inserted, the corresponding user who is to receive the planned report can be entered.
